When to send: Last day of the sprint, mid-morning. The team has lived through the entire sprint and memories are still fresh. Sending earlier misses the final days; sending after the sprint starts creates an awkward gap.
Response window: 4-6 hours. Send a single reminder at the 3-hour mark for anyone who has not responded. Close the window before end of day so results can be compiled for the retro meeting.
