Design Team Project Status Check

Keep track of design project statuses, identify blockers, and update the team regularly.

Productivity Communication Engagement Insights Individual Team Organization Cross-team Schedule simple

Overview

This workflow helps design teams monitor project progress and identify blockers through automated status check-ins. By scheduling regular updates, it ensures projects stay on schedule and teams remain informed about each member’s progress, enabling quick resolution of issues and better resource allocation.

Key Steps

Step 1: Configure Trigger Settings

Select “Based on a date and time scheduled” to automate status checks. Choose a weekly or bi-weekly cadence that aligns with your team’s sprint cycles. For fast-moving projects, consider more frequent check-ins.

Use Dailybot check-ins to gather updates from each team member about their current projects. Ask targeted questions about progress, blockers, and next steps. Use AI to summarize responses and identify common blockers. Share summaries with the team lead via “Sends a chat message via @Dailybot to DMs or channels.”

Step 3: Additional Settings

Configure weekly consolidated reports to compile all status updates into a single overview. This gives design leads and stakeholders a clear picture of project health without requiring additional meetings.

Best Practices

  • Adjust frequency based on project phase: Increase check-in frequency during critical project phases and reduce during quieter periods.
  • Encourage detailed updates: Guide team members to share specific progress percentages and concrete next steps rather than vague status updates.
  • Set response deadlines: Give team members a clear window to respond so summaries can be generated on time.
  • Review progress summaries in team meetings: Use the compiled reports as a starting point for team discussions, saving time on verbal updates.
